Jake McCoy, the Chief Operating Officer of RWS Global, shared insights about a new initiative in partnership with the RWS Global legal team. The aim was to refine a previously manual and cumbersome process that often took days to finalize, involving multiple handovers. With the AI features included in Box Enterprise Advanced, McCoy noted that processes can now be interconnected, resulting in a more streamlined and efficient workflow.
“The end user enters the necessary information into a contract via Box Doc Gen, which is then sent to Legal for approval,” he explained.
Upon approval, the contract is automatically dispatched and signed through Box Sign. The signed document is subsequently uploaded to the cloud. With contracts involving thousands of performers, McCoy emphasized that automating the contract approval workflow has significantly reduced manual processing time.
The efficiency gained from this end-to-end workflow has drastically cut RWS Global’s contract processing time from 20 minutes to under two minutes per contract. This reduction transforms what once required more than 8.5 workdays for 200 hires into a swift five-hour operation.
Matt Terrell, Director of Product Management – AI Agents at Box, remarked that an effective enterprise AI strategy relies on a solid foundation that incorporates metadata to define the significance of the data being managed.
“At Box, our mission is to turn your content into meaningful context, which can then be utilized by various AI tools,” he stated. “Metadata is one of the essential components for achieving this.”
Examining the contract process at RWS Global, Terrell noted, “If you wish to search for contracts exceeding a certain value, having contract size as a metadata attribute becomes a crucial element that enables you to conduct queries using natural language.”
